Executive Assistant at Simbe

Simbe is looking to for a high-energy Executive Assistant to work with our Executive Team and to manage key business functions of our San Francisco office. This person will support the CEO, Chief of Staff, and other senior executives on initiatives across all aspects of the business. Main duties include scheduling meetings, making travel arrangements, organizing daily calendars and day-to-day office projects. To be successful in this role, you should be very proactive, meet deadlines and communicate effectively on all levels. It’s important that you feel comfortable working in an early stage unstructured environment and willing to dive in and help where you see opportunities.


    • Manage administrative tasks including scheduling meetings, conference calls and multiple calendaring for CEO, Chief of Staff, and other senior executives. 
    • Maintain continuous/open communication between CEO, senior managers, employees, vendors, clients, and investors in multiple time zones. 
    • Create and track budgets, reports and update internal databases
    • Make travel arrangements and track travel expenses
    • Manage phone calls and emails
    • Respond promptly to CEO requests
    • Facilitate internal and external communication (e.g. Quarterly Board Meeting organization)
    • Suggest more efficient ways to run the office and troubleshoot where needs improvement
    • Review and recommend changes on policies where needed
    • Assist in administrative duties
    • Act as a resource to all new and current team members


    • Work experience as an Administrative Assistant or similar role
    • Has helped implement office procedures
    • Solid experience with office management systems
    • Advanced knowledge of Google tools, including Gmail, Calendar, Docs, and also MS Office (Word, PowerPoint, Excel)
    • Familiarity with multiple calendaring
    • Experience using office equipment, including printers and fax machines
    • Strong communication skills (via phone, email and in-person)
    • Experience exercising discretion and confidentiality with sensitive company information
    • Excellent organizational skills with an ability to think proactively and prioritize work
    • High school degree
